Welcome to DocVision (“we,” “our,” or “us”). We are committed to protecting your privacy and ensuring you have a positive experience on our website and in using our products and services.

This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website doc-vision.com and use our application.

2. Information We Collect

2.1 Information You Provide

We collect information that you provide directly to us, including:

  • Account information (name, email address, password)
  • Organization information and settings
  • Documents and data you upload or process through our service (invoices, receipts, bank statements, and similar financial documents)
  • Payment information (processed through third-party payment processors)
  • Communications with us (support requests, feedback)

2.2 Financial Data Collected via Plaid

If you choose to connect a bank or credit card account, we collect financial data from your financial institution through Plaid, including:

  • Bank and credit card transaction data
  • Transaction dates, amounts, merchant names, and categories
  • Account metadata (account type, institution name, last four digits) needed for transaction matching

Collection of this data requires your explicit authorization through Plaid's secure connection flow. You may revoke access at any time.

2.3 Accounting Data Collected via QuickBooks Online

If you choose to connect your QuickBooks Online account, we access accounting data from Intuit QuickBooks through a secure OAuth 2.0 connection, including:

  • Account activity and transaction history (dates, amounts, types, descriptions, running balances)
  • Customer, vendor, and item lists used for document matching and push workflows
  • Invoice, bill, purchase, and payment records
  • Company metadata (company name, account names, and account types)

Connection requires your explicit authorization through Intuit's OAuth flow. You retain full ownership of your QuickBooks data and may disconnect at any time from the Integrations page within DocVision, which immediately revokes our access. We access only the data necessary to provide our services and do not modify your QuickBooks records without your explicit action.

2.4 Automatically Collected Information

When you use our service, we automatically collect certain information, including:

  • Usage data and analytics
  • Device information (browser type, operating system)
  • IP address and location data
  • Cookies and similar tracking technologies

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services
  • Process and extract data from your documents
  • Match uploaded invoices and receipts to corresponding bank and credit card transactions
  • Categorize expenses and support financial workflow automation
  • Generate analytics and spending insights within your account
  • Improve document-processing accuracy using aggregated, anonymized data
  • Send you technical notices and support messages
  • Respond to your comments and questions
  • Monitor and analyze usage patterns
  • Detect, prevent, and address technical issues

We do not use your financial data for advertising, and we do not sell it to third parties.

4. Financial Data and Plaid

If you choose to connect a bank or credit card account, DocVision uses Plaid to securely access transaction data from your financial institution. We use this data to match uploaded invoices and receipts with corresponding bank or credit card transactions, provide expense analytics, and improve document-processing workflows.

We do not sell financial data. Access to financial data is limited to authorized systems and personnel, and data is protected using encryption in transit and at rest. You may request deletion of your financial data by contacting us.

Plaid's use of your data is governed by the Plaid End User Privacy Policy. DocVision is not responsible for Plaid's data practices.

5. Accounting Data and QuickBooks Online

If you choose to connect your QuickBooks Online account, DocVision uses Intuit's OAuth 2.0 APIs to securely access your accounting data. We use this data to:

  • Import account transaction history for reconciliation with uploaded documents
  • Push extracted document data (invoices, bills, purchases) to your QuickBooks books on your behalf
  • Retrieve customer, vendor, and item lists to populate push forms
  • Provide unified search and financial workflow automation across your documents and accounting records

We store a read-only copy of imported QuickBooks data for search and reconciliation purposes. OAuth tokens are encrypted at rest. We do not sell, rent, or share your QuickBooks data with third parties except as necessary to provide the Service.

You may disconnect your QuickBooks account at any time from the Integrations page. Disconnection immediately revokes our API access. Previously imported data remains available in your account until you delete it or request account deletion.

Intuit's use of your data is governed by the Intuit Privacy Statement. DocVision is not responsible for Intuit's data practices.

6. Data Storage and Security

We implement appropriate technical and organizational measures to protect your personal information. Your data is stored securely using industry-standard encryption in transit (TLS) and at rest.

Document and financial data is stored in secure cloud infrastructure. We retain your information only for as long as necessary to provide our services or to meet applicable legal obligations. You may request deletion of your data at any time (see Section 8).

7. Data Sharing and Disclosure

We do not sell your personal information or financial data. We may share your information only in the following circumstances:

  • With your consent
  • To comply with legal obligations
  • To protect our rights and safety
  • With service providers who assist in operating our service (under strict confidentiality agreements)
  • In connection with a business transfer (merger, acquisition, etc.)

8. Your Rights and Data Deletion

Depending on your location, you may have certain rights regarding your personal information, including:

  • Deletion of your account data and financial data

  • Withdrawal of consent (including revoking Plaid bank access or disconnecting QuickBooks)

To request deletion of your financial data, account data, or to exercise any of the above rights, please contact us using the button below. We will process your request within 30 days.

Data is retained only as long as needed to provide the service or to meet legal obligations. Upon a valid deletion request, we will remove your personal and financial data from our active systems and request deletion from relevant third-party processors.

  • Vercel - Application hosting and infrastructure
  • AWS - Cloud storage and infrastructure services
  • Payment processors - Billing and subscription management (if applicable)

Our service may also contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to read their privacy policies.

11. Children's Privacy

Our service is not intended for individuals under the age of 18. We do not knowingly collect personal information from children.

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the “Last updated” date.
